Running a business comes with a lot of moving parts and bookkeeping is usually the one that gets pushed aside for later.

Not because you don’t care, but because it can either be confusing, time consuming or easy “to do later”.

The truth is, you don’t need hours every week to stay on top of your books, you just need a simple routine that keeps everything organized and under control.

Why a Weekly Routine Matters?

When bookkeeping is left for “later” it can quickly get out of control and quickly turninto something overwhelming. Receipts start piling up, invoices go unpaid, transactions remain uncategorized and bank and credit cards accounts aren’t reconciled, just to name a few. And before you know it, you’re behind and not really sure where the numbers of your business stand.

A weekly routine helps you:

  • Stay organized
  • Catch mistakes early
  • Feel more in control of your business
  • Avoid the last minute panic during tax season

This isn’t about being great at it, it’s mostly about staying consistent.

Your Simple Weekly Bookkeeping Routine

Set aside a specific day each week for at least 30-60 minutes. Think of it as your “business check-in”.

Here’s what to focus on:

1. Check Your Bank & Credit Card Transactions

Take a quick look at your accounts and review recent transactions.

Ask yourself:

  • Do I recognize everything?
  • Are there any duplicates or unusual charges?

This helps you stay on top of your cash flow and catch anything off early.

2. Categorize Your Income & Expenses

This is where clarity starts.

Go through your transactions and assign them to the right categories. Examples: meals, office supplies, software, etc..

Don’t overthink it, keep it simple and consistent.

3. Save & Organize Your Receipts

If your receipts are sitting in your car, your email or your camera roll, this is your moment to gather them.

Upload or save them in one place so everything is easy to find later. Examples of where to save: Google drive, dropbox, computer folder, just to mention a few.

A simple system goes a long way here.

4. Check On Your Invoices & Payments

Take a few minutes to:

  • Send any invoices you haven’t sent
  • Pay invoices/bills that have not been paid
  • Follow up on unpaid ones
  • Record payments you’ve received

This step alone can help improve your cash flow.

5. Review Your Numbers

You don’t need to analyze everything, just take a quick look.

  • How much income did I receive this week?
  • On what did I spend?
  • Does anything stand out or is different?

This builds confidence overtime and helps you stay connected to your business financially.
