If you have receipts stacked up that haven’t been scanned or saved, your invoices are scattered across emails or sitting on your desk and you have no clear idea of what your expenses look like, you’re not alone.

A lot of business owners don’t have a simple system that helps them stay organized.

My goal with this post, is to provide you with simple steps to help you create a system you can actually stick to it.

Let’s talk walk through a simple system you can start using today.

Step 1: Create One “Drop Zone” for Everything

In my personal opinion, this is where disorganization starts, you either have too many places where you “save” the documents or you stack everything in one place and move on. Then, when you need that document you don’t even know where it is.

You want ONE main place where you can save everything.

That could be:

  • A Google Drive Folder (is free)
  • A Drop Box Folder (is free)
  • A receipt app (like Dext, Hubdoc or QBO) – Keep in mind there is many other options that you could use to scan your receipts, invoices etc..
  • Even a simple email label like: “Receipts & Expenses”

Sidekick System Tip: Keep It Simple & Searchable

If it’s business related – upload it and save it in the appropriate folder. No exceptions.

Create simple folder like:

  • Receipt & Expenses
  • Invoices

Then when you upload documents, name them like this:

04.01.26 – Home Depot – $40.00

That way, when you’re doing your bookkeeping or adding backups (receipts/invoices/deposits) into your bookkeeping software, everything is easy to find, no digging, no guessing.

Think of this as your digital drawer, organized.

Step 2: Use the 3 Category System

Organize everything into three categories:

  1. Receipts Folder: This is anything you paid for.
    • Coffee meeting
    • Office supplies
    • Software expenses
  2. Invoices Folder: This is money coming into your business
    • Client Invoices
    • Payment confirmations
  3. Expenses (Bills): This is money you owe
    • Vendor bills
    • Utilities
    • Rent

That’s it. That’s all you need for now.

Step 3: Go Digital (Even If You Start Small)

Start turning everything into digital:

  • Scan receipts right away and upload to the applications I mentioned earlier
  • Download invoices as PDF and safe
  • Forward confirmation emails from your email, save and upload.

As mentioned earlier again create simple folders like:

  • Receipts
  • Invoices
  • Bill/Expenses

Inside your “Drop Zone”

Pro Tip: As I mentioned earlier, name files like this:

04.01.26 – Home Depot – $40.00

This will make everything searchable later.

Step 4: Set a Weekly “Reset” (15-30 Minutes)

This is a step that will help you keep everything from piling up.

Once a week:

  • Upload any missing receipts
  • Check your invoices
  • Review your expenses
  • Make sure everything is in the right place

That’s it. You don’t need hours, you just need consistency.

Step 5: Connect It To Your Bookkeeping System

Your tracking system should support your bookkeeping, not replace it.

If you’re using software like Quickbooks Online:

  • Match receipts to transactions and add them to that transaction
  • Keep documentation for every expense and deposits
  • Stay ready for tax season

If you’re not using software yet, this system still works, it’s just about keeping everything on one place so is easy to find.

Step 6: Keep It Simple Enough To Maintain

If something feels too complicated, simplify it. This post is here to give you an example of how to organize your documents and create a system that works for you.

What This Looks in Real Life

A simple flow:

  1. You make a purchase
  2. You snap a photo/scan
  3. You upload to folder accordingly
  4. Once a week, you add and review everything
  5. Your books stay organized without stress

No chasing receipts, no looking through emails, no last minute panic before taxes.

Final Thoughts

Staying organized isn’t about being “perfect”

It’s about having a system that works for you, not against you.

My recommendation: Start simple, stay consistent and go from there.
