First things first.
Take a breath. Because being behind on your books is way more common than people talk about. And it does not mean you’ve failed at running your business.
It means life got busy. Priorities shifted. And bookkeeping, like it does for so many business owners, got pushed to the back burner.
The good news? No matter how far behind you are, there is a clear path forward. And it’s simpler than you might think.
Here’s exactly what to do when your books are behind.
Step 1: Find Out Where You Actually Left Off
Before you do anything else, you need to know where things stand.
The first question I ask every business owner who comes to me feeling behind is this:
When was the last time you did a bank reconciliation?
That answer tells you everything. It tells you how far back you need to go, what period needs attention and where to start.
If you’re not sure what a bank reconciliation is, don’t worry about it. Simply put, it’s the process of matching the transactions in your bookkeeping software to your actual bank and credit card statements. It’s how you confirm that everything is recorded accurately and nothing is missing.
Your bank reconciliation is your starting point. Always.
Step 2: Download Your Bank and Credit Card Statements
Once you know where you left off, it’s time to gather your records.
Go back to the last month that was fully reconciled and download your bank and credit card statements from that point forward month by month.
Don’t try to tackle all months at once. Work through one month at a time. This keeps the process manageable and makes sure nothing slips through the cracks.
As you download each statement, save it in a clearly labeled folder. A simple naming system like this works perfectly:
2024 Bank Statements
2024 Credit Card Statements
Simple, searchable and easy to find when you need them.
Step 3: Gather Your Receipt and Deposit Backups
For every transaction on your statements, you want to have a backup — a receipt, invoice or deposit confirmation that supports it.
As you work through each month, start matching transactions to their backups. When you find the receipt or invoice, save it to your folder using a clear naming format like:
04.01.26 – Home Depot – $40.00
Then attach it to the corresponding transaction in your bookkeeping software. This keeps everything connected, organized and easy to find later, especially at tax time.
If you’re missing receipts for older transactions, do your best to track them down. Check your email, your bank portal or your vendor accounts. And for anything you simply cannot locate, make a note and move on. Don’t let missing receipts stop your momentum.
Step 4: Enter and Categorize Transactions Month By Month
Now it’s time to start working through your transactions in your bookkeeping software.
Go month by month. Don’t skip around. Starting from the earliest unreconciled month and working forward keeps everything clean and accurate.
As you go, categorize each transaction: office supplies, software subscriptions, client payments, and so on. Keeping your categories consistent makes your financial reports much more useful and gives you a clearer picture of where your money is going.
Step 5: Flag Anything You’re Unsure About
Here’s a tip that saves so much time and stress.
If you come across a transaction and you’re genuinely not sure how to categorize it — don’t guess. Instead, create a category called “Ask My Accountant” and park it there temporarily.
Then when you speak with your CPA or accountant, you have a clear list of items to go through together. They can advise you on the correct coding and you can update everything at once.
This is important: bookkeepers and accountants play different roles. A bookkeeper keeps your records organized, up to date and accurate. An accountant or CPA handles tax advice, financial strategy and coding decisions that require their expertise. Working with both means you’re covered on all fronts.
Step 6: Reconcile Each Month Before Moving to the Next
This is the step that keeps everything accurate.
Once you’ve entered and categorized all transactions for a given month, reconcile that month in your bookkeeping software against your bank statement before moving on.
Reconciling month by month as you catch up means you always know exactly where you stand. It surfaces any errors or missing transactions early. And it gives you that satisfying confirmation that the month is done and accurate.
The best way to keep your books updated is to reconcile your bank accounts for each month consistently. That way you always know where you’re at.
Step 7: Set Up a Simple Weekly Habit Going Forward
Once you’re caught up, the goal is to stay caught up.
And the secret to that is consistency not perfection.
A simple 15 minute weekly reset is all it takes to keep things from piling up again:
- Upload any new receipts and invoices
- Check what transactions need to be entered
- Review your expenses for the week
- Make sure everything is saved and in the right place
Small weekly habits prevent the kind of overwhelm that builds up over months. Future-you during tax season will be very grateful.
